Start a New Survey
Beginning in the User dashboard, click New Survey in the upper right hand corner.
A pop up will invite you to give a title to your survey, upload the Client's logo and nest your survey into a Folder. The logo for your client needs to be a png or a jpg here. {To find out more about Folders, click here}. Click Create Survey once you have completed these steps.
Upload Buildings using a CSV File
The ScoutMagic Settings pop-up will show up when your new survey opens. You can click out of this pop-up. Then click "Import CSV" on the right side.
If you have already created a survey, you can click the down arrow next to the Add Property button. Then click Import CSV.
In the next section, you will find a few settings that you can customize before uploading your CSV file.
Select a Metroplex that your set of buildings are located inside of. This will help instruct the system to locate and plot each building on the map.
Select if you would like to remove existing buildings from your survey when adding these new ones. This setting is helpful if you need to re-upload the same file in case you needed to change some data.
Select if you would like ScoutSpace to automatically populate a google maps image of your property on your survey. This will help dress up your virtual survey with photos of the building.
Once you have your settings finished, click "import CSV".
Attaching your CSV file
A pop-up will appear called "Bulk Add Buildings". Here you will find a button to allow you to attach your file. The formats accepted here are .csv, .tsv, .xls, .xlsx, .txt spreadsheets.
Note: You can upload any of these with any set of columns as long as there is 1 data point or data record per cell. You cannot upload a file with multiple data points within one cell. ie: you need to have a column for the rate "$35.50" and a separate column for lease type "NNN".
The next step will allow you to match your spreadsheet columns to the right data points in our system. You will be able to clean up or remove any corrupted data before finalizing your report. You will also be able to rename column headers after you import into the platform.
Note: For Available Space size, please match to column "Suite SF". This is the only required field. If you do not match this field, the system will not be able to ingest your data. For Available Space Rate, please match to column "Rent/SF/YR".
Column Match
When you attach your CSV file, you will be led to the Column Matching Pop-up. You will find all the columns on your CSV file on the left side by the blue arrow in the below image. Then you will see an empty field with a drop down menu with a list of potential data points you can match your field to (the blue circle).
Match each column from your CSV file to a corresponding data point in the platform. If you want the system to overlook data, then click ignore. When you have matched the data point, click "Confirm Mapping".
Note for Address: You have a choice between Street Address and Full Address. If you have the entire address in one cell on your spreadsheet (ie: 123 Main Street Boston, MA 01231), then choose Full Address. If you have it broken up by columns (ie: column 1: 123 Main Street, column 2: Boston, column 3: MA, column 4: 01231), then choose Street Address for 1, City for 2, State for 3, Zip for 4. If this is not correct, it will not pull your properties in correctly.
If you have a data point that is not found in the drop down menu, we have created an option for you to create your own data point. Search in the empty field "Property Temp Column". It will show an option of up to 6 temporary columns you can connect your new data point to. Once you add your properties, you will be able to rename this new data point.
Once all your columns are matched and confirmed (or ignored), then click Review on the bottom right.
Confirm Data
You will be encouraged to review your data in this screen. Scroll down or to the right to view all columns matched. If you need to edit, click Go Back in the bottom left corner. If your data is ready to be ingested, click "Continue". Then hit "Submit."
ScoutSpace will read your CSV and create your buildings. It will show a progress report In the upper right hand corner that you can follow along with. Once it is finished, it will reload the page and generate your new virtual survey.
Rename Column Header
If you uploaded a new data point into the system, the following will direct you how you to rename the column header.
Navigate to Edit Properties. {To read more about Edit Properties, click here}. Under the Property Tab, you will find a spreadsheet style interface with columns of the features on the Property level. Scroll to the right in the spreadsheet to find the column Property Temp Column 1 that you matched in the CSV upload.
On the upper right, click Edit Column. Then click Edit Column Name.
Select in the drop down menu, Property Temp Column 1 and then type your new name underneath. Click Edit Column when you're finished. Scroll in Edit Properties to find and confirm your new column header. You can also do this process for a feature that was added to Space level on the CSV import.
This new column/field appear on the virtual survey under the Property page, the Summary View, the PDF report and the Share view.
