Once you've created your survey and decided which buildings you'd like to tour, navigate back to the User Dashboard (also known as the folders view). Click the three dots on the upper right hand side of the survey you're working on. Click "Duplicate". This will generate an exact copy of the survey you've sent to your client, but now any edits or amendments you're making to the survey will not be visible to your client. Duplicating the survey ensures that your original survey remains intact and unaltered, providing a safeguard for your initial data. This will help you maintain a paper trail of your deal cycle giving a chance to reference the original survey when needed.
The survey will now contain (Copy) at the end of it. Click on the three dots of the new survey and click "Survey Settings". This will take you to the Survey Settings for your new tour. Change the title of this survey to "[Survey Title] Tour". This naming convention helps clearly distinguish the tour-specific survey from the original. Toggle on Reset Path and click "Save" at the bottom of the screen.
On the map view, click Properties. Here you will be select all the buildings that you are NOT going to Tour by checking the box on the left hand side of the property title. Once you're finished, select "Delete Properties" on the upper right hand side of the screen. This will leave the properties you're planning to tour in view. Grab the six dots on the left side of each property to reorder the properties according to the tour. Note that hiding a property only removes it from the client view or PDF but does not exclude it from the optimizer’s route. To fully exclude properties from routing, delete them from the tour survey copy.
When you are ready to add Tour Times, click Tour Schedule in the nav bar on the map view.
Auto-Generate Tour Schedule
At the top of the Tour Times table, you will see an area where you can Auto-Generate Tour Schedule. This feature will allow you to create the tour times based on the drive time between the buildings as well as the duration set you'd like to stay at property. Set the start date and time for the tour, the time zone and the duration for each property tour. The system will automatically calculate the tour times for the remaining properties, factoring in travel time between each location. Alternatively, you can manually enter the tour times for each property if you prefer more control over the schedule.
Generate a Tour Book
Once you have set the tour times and dates for your properties, you are ready to generate a Tour Book. Navigate to Reports on the upper right hand side of the Map view. Click "Create new PDF report". This will take you to the PDF settings page.
Here you will see the templates that available for generation. The Modern template is an easy-to-use template that will allow you to create a Tour Book. You can also add a custom cover photo and override the default title to personalize the Tour Book further. Navigate to each section and configure the settings to match your requirements.
Make sure to toggle the setting On under Tour Itinerary. This will add a page into the PDF that will pull in the Tour date and time for each property that you have set within Edit Properties. Ensure that all tour times are set before generating the Tour Book to include the itinerary page.
Note: If you have not set a tour time for the properties, but toggle this setting on, the tour itinerary will not show in your Tour Book.
Click "Save & Generate" once you're finished. The PDF will generate after a few seconds and you will find the print-ready Tour Book under "Created Reports".
