Organize Your Surveys: Folders, Archive, and Search

Group surveys into folders, share a folder with your client, archive or delete surveys, and find any survey from your dashboard.

Your dashboard is where every survey you can access lives. This article covers the folder rail on the left, creating and sharing folders, moving, archiving and deleting surveys, and finding a survey with search and the owner filter.

The folder rail

When you open the dashboard, you see the surveys that aren't in a folder, with your top-level folders shown as chips above them. Click a chip, or a folder in the rail, to open it.

  • All Surveys shows every active survey you can access, in every folder. The number is the total.

  • My folders lists your company's folders. Click the arrow next to a folder to show its subfolders, or type in Filter folders to find one by name. The number next to a folder counts the surveys directly inside it, not the ones in its subfolders.

  • Other folders holds Shared with me, the surveys someone has invited you to collaborate on, and Archived, the archived surveys you have access to. Each one appears once it has a survey in it. To learn how collaborators are added, see How can I gain editing access to a survey in ScoutSpace?

Folders belong to your company's account, so everyone on your team sees the same folders and can rename, share or delete them.

Create a folder

  1. Click + next to Folders at the top of the rail.

  2. In New Folder, enter a Name.

  3. To put the folder inside another folder, choose that folder under Parent folder. Leave it on Select Parent Folder to create a top-level folder.

  4. Click Create Folder. The new folder opens.

Two folders in the same place can't have the same name. Parent folder appears once your account has at least one folder.

To put surveys in the new folder, see Move or rename a survey below. You can also choose a folder when you create a survey.

Edit, share or delete a folder

Hover over a folder in the rail and click the three dots next to its count.

  • Edit: change the folder's Name or Parent folder, then click Update Folder. Moving a folder takes its subfolders and surveys with it.

  • Share: get a link to the folder for your client. See the next section.

  • Delete: confirm to remove the folder. Its subfolders are deleted too. The surveys inside are not deleted. They move back to the main dashboard, outside any folder. Any link you shared to the folder stops working.

Share a folder with your client

A shared folder gives your client one link to every survey in it, so they don't need a separate link for each survey.

  1. Open the folder and click Share Folder in the upper right corner. You can also choose Share from the folder's three-dot menu in the rail.

  2. In Share This Folder, click the copy button next to the link under Copy Link.

  3. Send the link to your client. To see what they'll see, click the eye button next to the copy button.

Anyone with the link can open the folder without logging in. They see the folder's subfolders and a card for each active survey in it, and clicking a survey opens its share view. Sharing a folder also shares every subfolder inside it. Archived surveys don't appear. If a survey is password protected, your client is asked for the password when they open that survey.

Move or rename a survey

  1. Click the three dots on the survey's card.

  2. Click Rename & Move.

  3. Change the Survey title, choose a different Folder, or both. To take a survey out of its folder, choose Select folder.

  4. Click Update survey.

You can also change the survey's Client logo here. Each survey in your account needs its own name.

To copy a survey instead, use Duplicate in the same menu. Create a Tour Book explains what a copy keeps.

Archive a survey

Archive a survey when the deal is done but you want to keep it. Archiving hides the survey from All Surveys, its folder and search. Nothing on the survey is deleted.

  1. Click the three dots on the survey's card.

  2. Click Archive. The page refreshes and the survey moves to Archived in the rail.

To bring a survey back, open Archived, click the three dots on its card and click Unarchive. It returns to the folder it was in.

An archived survey's own share link still works for your client, but the survey no longer appears in a shared folder.

Delete a survey

  1. Click the three dots on the survey's card.

  2. Click Delete Survey, then confirm.

The survey is removed from the dashboard for everyone, and its share link stops working. If you might need the survey again, archive it instead.

Note: Rename & Move, Duplicate, Archive and Delete Survey only appear on surveys that belong to your company. A survey shared with you by another company doesn't show them.

Find a survey

  • Search Surveys: type part of a survey's name and press Enter.

  • Filter by survey Owner: choose a person to see only the surveys they own. The list updates as soon as you choose.

Search and the owner filter look through every active survey in every folder, even when you start from inside a folder. They don't include archived surveys, so open Archived to find those. To return to the full list, click All Surveys.
