Uploading a brochure or PDF for a building you already have creates a new property record. It doesn't overwrite the original. Merge the two to choose which data to keep.
When the same building ends up in your account more than once, you can merge the copies into one property. The merge page shows both copies side by side, lets you choose which spaces and features to bring across, and previews the merged property before anything is saved. This article walks through finding duplicates, choosing what to keep, and saving the merge.
How ScoutSpace finds duplicates
Two properties are possible duplicates when they're in the same city and state and have the same street address. Suite and unit numbers are ignored, and common abbreviations count as the same word, so 2100 Elm Street and 2100 Elm St Suite 200 match.
A different house number is a different building, so 123 Main St doesn't match 1234 Main St. When neither property has a street address, their full names must match.
When you import properties from a CSV, ScoutSpace uses the same rule to decide whether a row belongs to a property you already have.
Open the merge page
You can start a merge from any of these places. Each one opens the same merge page:
Property Database, Map view: on a property card beside the map, click Show N duplicates, then click Merge next to the duplicate.
Property Database, property details: open the property and click Merge, or open its Duplicates tab and click Merge next to a duplicate. In the Table view, properties with a possible duplicate show Possible duplicate next to their name.
A survey: click the merge icon on a property card. It appears when the property has a possible duplicate in your account.
A survey's Properties tab: click the three dots on the property's row and choose Merge duplicates.
Choose what to keep
The merge page shows the two properties side by side. The left card, This record will be discarded, is the copy being removed. The right card, This record will be kept, previews the merged property and updates as you change your choices.
Check which property is kept. The kept property keeps its own name, address, description, and building details. To keep the other copy instead, click the swap button between the two cards. Your choices reset when you swap.
Choose the spaces. Every space on the discarded property starts ticked. Untick a space you don't want, and it's marked Discarded and leaves the preview. Spaces move across one by one and are never combined. If a moved space has the same name as one the kept property already has, it arrives as <name> Copy (then Copy 2, and so on).
Choose the features. A feature the kept property doesn't have starts ticked. A feature with a different value starts unticked; tick it to replace the kept property's value. Features with the same value need no choice, and amenities are always kept.
What comes across automatically
Photos and flyers, without duplicate files
Labels and comps
Survey memberships: the kept property appears on every survey either copy was on
Comments, activity history, and import history
Save the merge
Merge & Next saves the merge and opens the kept property's next duplicate. When none are left, you go back to where you started.
Merge & Close saves the merge and goes back to where you started.
Cancel leaves the page without changing anything.
Before you merge
Merging is permanent. The discarded property and any space you leave unticked are deleted and can't be recovered.
If either property changes while the merge page is open, ScoutSpace doesn't merge them and shows an error. Reopen the merge page to see the latest version, then try again.
